            <title>A simple setup to conquer your inbox</title>

            <description>Some months ago I read a series of articles by Mr. Martin Webster called ?How to deal with an overflowing inbox?. In these articles Mr. Webster describes how to setup and manage your inbox in order to overcome email overload at work.
I?ve been testing his techniques in outlook 2007 &amp;#8211; and I must admit that they have proven effective. It took a couple of weeks to get used to, as changing my routine wasn?t an easy task, but as Mr. Webster writes ?I can help you to get organised in just twenty-one days. That?s how long it takes to form a habit?. Well he was right!
Below I?ve summarized some of the actions I took in order to conquer my inbox.

First step &amp;#8211; The basic setup
Email folders and subcategories are useless if you need to find something quickly. It is much faster to use a desktop search engine and search operators.


Setup a new data-file (an archive for this year) in which you create three folders;



_Copy Inbox
_Copy Sent
_Action Box



Create a ?filter? that automatically copies all incoming emails to ?_Copy Inbox?.

In Outlook 2007 &amp;gt; goto Tools &amp;gt; Rules and alerts &amp;gt; New rule &amp;gt; Check messages when they arrive &amp;gt; On this machines only &amp;gt; Move a copy to a specified folder.



Create a ?filter? that automatically copies all sent items to ?_Copy Sent?.

In Outlook 2007 &amp;gt; goto Tools &amp;gt; Rules and alerts &amp;gt; New rule &amp;gt; Check messages after sending &amp;gt; On this machines only &amp;gt; Move a copy to a specified folder.



Copy everything in your current inbox to ?_Copy Inbox?, and move your existing folders here too (this is your backup).



Second step &amp;#8211; Spring cleaning

Simply delete old mails in your current inbox. Just get rid of them. Personally I selected all mails older than 2 weeks and hit delete. (Don?t worry, It?s all backed up in ?_Copy Inbox?.)


Now scan through the rest of the inbox and delete all email which require no further action.


All items which do need further action, move them to ?_Action Box? and deal with them when your inbox is clean. Remember to prioritize them &amp;#8211; high, medium, low importance.



Further tips to manage your inbox:

Only check and process your mail twice a day &amp;#8211; morning and afternoon


Disable email notifications to avoid being distracted.


Use desktop search engines such as ?google desktop search? or ?windows 7 search?.


Learn the basic search operators such as ?kind:email, to:name, from:name etc?.


Make use of Sally McGhee?s Four D?s for decision making

Delete it &amp;#8211; everything irrelevant, hit delete.
Deal with it &amp;#8211; if you open an email, deal with it.
Delegate it &amp;#8211; quickly delegate the tasks and yourself as CC:
Defer it (if unable to deal with an email &amp;#8211; forward it to yourself as attachment)
